Privacy Policy Statement

SGS Hong Kong Limited (“SGS HK”) respects your personal data privacy. SGS HK shall ensure that all personal data submitted in connection with events organized by SGS HK, including but not limited to webinars, seminars, fairs, summits, conferences (“Events”), are processed pursuant to the Personal Data (Privacy) Ordinance (Cap. 486) (the “Ordinance”).


This Privacy Policy Statement may also be referred to as the Personal Information Collection Statement.

Collection of Data

What, How and Why do we collect?  

  • When you register for or participate in Events organized by SGS HK, we may collect your personal data, including but not limited to your full name, company name, job title, contact information (such as email address and/or phone number), and any information you provide during event registration, participation, or feedback. Such data may be collected through online registration forms, event platforms, interactive features (such as Q&A, polls, or surveys).

  • The purposes of collecting this data are to process your registration, administer and deliver the Events, communicate event-related information, handle your enquiries, gather feedback for service improvement, and, where applicable, send you follow-up materials or information about future events, subject to your consent where required.

  • Use of Images: SGS HK may take photos and/or videos of participants during the Events for promotional purposes, including sharing on our websites, social media channels, marketing materials, or other platforms. By registering or attending, you consent to such uses. If you prefer not to be photographed or featured, you may inform us in advance, notify event staff on the day, or contact us afterwards, and we will make reasonable efforts to accommodate your preference.

  

Are you obliged to provide the Data?

 

  • It is generally voluntary for you to provide personal data for participation in the Events. However, certain information (such as your name and contact details) may be required to process your registration and enable your access to the Events. Failure to provide the required data may result in our inability to process your registration or deliver the event-related services.

 

Share of Data

Who may we share your data with?

  • Your personal data may be shared with employees of SGS HK who are responsible for managing event registration and delivering the Events. Where necessary, your data may also be shared with SGS Group affiliates, third-party service providers (such as event platform operators or IT support), and local marketing agencies engaged for event administration or analysis. All third parties are contractually bound to use your data only for the specified purposes and to maintain confidentiality.

  • Only non-personally identifiable information will be processed for marketing research and analysis purposes.

 

 

Storing, Retention and Security of Data

Storing of Data:

  • We may store your data outside Hong Kong to our affiliates and/or third-party cloud services provider. Should your personal data be transferred out of Hong Kong, we shall ensure the level of protection of your personal data be at least equal to the requirement under the Ordinance and that of the applicable personal data protection laws in the locations where your data is stored.

 

Retention of Data:

  • Your personal data will not be kept for longer than is necessary for fulfilling the purpose of its collection.

 

Security of Data:

  • SGS HK shall take all practicable steps to protect the personal data held by us against unauthorized or accidental access, processing, erasure and/or loss.

  • All service providers of SGS HK only have access to such personal data as necessary to perform their functions and may not use it for any purpose other than to provide services to us. Also, they are contractually bound to keep any data confidential and against unauthorized access, use and retention.


Direct Marketing and Opt-out Rights

  • Your personal data will not be used for direct marketing nor be provided to third parties for direct marketing activities unless your prior consent is obtained. Our direct marketing communications will be in the form of including but not limited to email and direct call which shall include promotions and/or knowledge sharing.


Your Rights

  • You are entitled to (i) ascertain whether we hold your personal data; (ii) request access, correction and update to your personal data; and/or (iii) exercise your rights under the Ordinance by contacting us by email at info.ticmall@sgs.com.

 

This Privacy Policy Statement has been translated into Chinese. If there is any inconsistency between the English version and the Chinese version, the English version shall prevail.
